All unmatched patients and their images are still available in XVWeb, but may require manual searching to pull up. These unmatched patients may be inactive or archived patients, or have missing/incorrect info (such as name, birthdate, or ID) in the legacy imaging system.
This is most commonly caused by the patients information being entered manually into the legacy system, or not bridging at all. This leaves room for errors with misspellings, nicknames, etc. and we are unable to map them because there was no match found for the record between the legacy imaging system and your practice management software.
How to manually fix these patients:
- Open the patient's chart in your Practice Management System
- Open XVWeb using the internal bridge, or Datagrabber (an internal bridge is the button inside of your practice management system that opens the imaging software)
- Once XVWeb opens, all of the data boxes will be populated with the correct information
- From this screen, you can either take a screenshot of this information and click "Clear", then search the patient again using only First Name and Last Name, or you can open a new tab, navigate to your XVWeb account, and search First Name and Last Name there. (This is for reference, so you know what the patients information is supposed to be)
- After typing in only First Name and Last Name, click "Search" (if this doesn't find the patient, try searching by different parameters like only first name, only last name, etc.)
- You should see the patient now, but you will notice that some information is either missing or incorrect. (ex. Gender is O, DOB is incorrect or missing, etc.)
- Click "View" next to the name, click the edit icon that looks like a pencil in a box (If this box is missing, you need to be logged in as an administrator, click ADMIN on the top right, go to USERS, PRIVILEGES and check the EDIT box)
- On this screen, you want to look at the screenshot (or other tab you opened) you took earlier with the correct information, and copy it into these boxes so they match, then click confirm and now the patient should show images when you bridge again. If you try bridging again and it doesn't work, check for any misspellings or inaccuracies.
